The modern smartphone Android has become a universal tool for solving work and personal problems, where communication takes a central place. Sending email from a mobile device has become a routine operation, accessible even to beginners, however, the nuances of setting up and using various clients may raise questions. Gmail, preinstalled in the system, is a de facto standard, but users are often faced with the need to connect corporate mail or use third-party applications like Outlook or Yahoo Mail.
Regardless of the chosen service, the basic principle of operation remains the same: a stable Internet connection and a correctly configured account are required. In this article, we will take a detailed look at the process of writing, designing and sending messages, and also look at typical problems that you may encounter in the process. Understanding these mechanisms will allow you to effectively manage correspondence right from the palm of your hand.
Preparing your email client and account
Before you start writing a letter, you need to make sure that your device is ready to work with email services. In most cases, an account is already set up on smartphones, which automatically activates the application. If you plan to use another service, for example, corporate Exchange or a personal account on Google, which automatically activates the application Gmail. If you plan to use another service, for example, corporate Exchange or a personal mailbox on Yandex, you will need to add it to the system.
To add a new account, go to Settings → Accounts → Add account. The system will offer a list of popular providers; select the one you need and enter your credentials. Without this step, the login may be blocked by the provider's security system.
After successful authorization, check the synchronization. Go to your mail app and make sure your incoming messages are downloading correctly. If you use multiple addresses, make sure that switching between them is intuitive. For corporate mail, you may need to install additional security certificates that are issued by your organization's system administrator.
⚠️ Attention: When setting up corporate mail via the Exchange or IMAP protocol, carefully monitor the settings of the incoming and outgoing mail server. An error in one character of the server address will make it impossible to send messages.

Creating and formatting a new letter
The process of creating a message begins by clicking the “Write” button or the pencil icon, which is usually located in the lower right corner of the screen. An editor window will open where you have to fill in key fields. The field “To” is required: the recipient's email address is entered here. Modern clients support autofill from your address book, which significantly speeds up the process.
The following is the subject field of the letter. Although it is technically possible to send a message without a subject, it is considered bad manners in business correspondence and often results in the message being classified as spam. A brief and informative subject line helps the recipient quickly understand the essence of your message. In the main body of the letter, you can use standard text formatting.
The application Gmail and other advanced clients allow you to change the text style. Select the desired fragment and use the toolbar to change the font, add Bold or create lists. This is especially useful when writing structured reports or instructions. Don't forget to check your spelling before the final send.
Use the "Templates" or "Quick Replies" feature in Gmail settings if you often send the same type of messages. This will save a lot of time on routine typing.
Working with attachments and multimedia
One of the main advantages of mobile mail is the ability to instantly attach files directly from the device’s memory. To add an attachment, click the paperclip icon at the top of the editor screen. You will be asked to select the file source: Gallery, Files, Google Drive or recent documents. The system will automatically detect the file type and prepare it for download.
There are restrictions on the size of attachments. For most free email services, the limit is 25 MB per email. If your file exceeds this volume, the system will offer to upload it to cloud storage and send a link to the recipient. This is a convenient way to transfer heavy videos or archives without the risk of filling the recipient's mailbox.
You can attach several files at the same time. Just select them one by one from the file manager. Before submitting, make sure the download process has completed - this is usually indicated by a check mark or progress bar next to the file name. Sending an email with an undownloaded attachment will result in an error or the email being sent without the required file.
| File type | Recommended format | Viewing features |
|---|---|---|
| Documents | PDF, DOCX | Open in the built-in viewer |
| Images | JPG, PNG | Displays previews in the body of the email |
| Tables | XLSX, CSV | Requires an installed office suite |
| Archives | ZIP, RAR | Needs to be downloaded and unpacked separately |
Settings recipients: Cc and Bcc
In addition to the main "To" field, Android email clients have hidden menus for adding copy (CC) and blind carbon copy (BCC) recipients. To see these fields, click on the down arrow or person icon next to the address entry field. Understanding the difference between the two is critical to business email etiquette.
The CC (Carbon Copy) field is used for those you want to familiarize with the contents of the letter, but who are not the primary recipient from whom action is required. All recipients see addresses in this field. Field BCC (Blind Carbon Copy) hides the addresses of those included in this list from all other participants in the correspondence. This is an ideal tool for mass mailings without exposing customer databases.
Using blind carbon copy also protects the confidentiality of contacts. If you forward an email to third parties, be sure to delete the previous conversation thread or use BCC to avoid information leakage. Careless use of these fields can lead to reputational risks in a professional environment.
What happens when you “Reply All”?
If you click “Reply All” on an email where you were BCC, only the original sender will see your response. The remaining recipients specified in the “To” and “Cc” fields will not receive your message and will not know that you were present in the correspondence at all.
Delayed sending and drafts
Sometimes there is a need to write a letter now and send it at a specific time, for example, in the morning of the next working day. The delayed sending function in Gmail and other applications solves this problem. After writing the text, click on the menu (three dots) and select “Schedule sending”. You will be asked to choose a time from the preset options or set your own.
Drafts are saved automatically every few seconds. If you accidentally close the application or lose your Internet connection, don't worry—the text won't be lost. You will find it in the folder “Drafts”. However, relying only on autosave is risky: when writing very long letters, it is better to periodically copy the text to the clipboard.
Delayed messages are stored in a special “Deferred” folder. Before the specified time, you can go there, open the letter and cancel sending or change the text. As soon as the appointed hour arrives, the application will try to send the message. If there is no Internet at this moment, sending will occur immediately after the connection is restored.
⚠️ Attention: Delayed sending only works when the application is active or there is background synchronization. On some smartphone models with aggressive energy saving, the sending process may be suspended by the system until the screen is unlocked.
Solving common problems when sending
Despite the well-functioning system, users may encounter errors when sending. The most common reason is the lack of a stable connection to the network. Check the icons in the top bar: if there are no 4G, 5G or Wi-Fiicons, the email will remain in the outbox until the connection is restored. The problem may also be that your Google Account storage is full.
If a letter hangs in the “Sending” status indefinitely, try clearing the application cache. Go to Settings → Applications → Gmail → Storage → Clear cache. This won't delete your emails, but it will reset temporary files that may have caused the crash. In rare cases, deleting and re-adding the account helps.
Authentication errors often occur when changing the password on the main device. If you recently changed your email password on your computer, your phone may require you to log in again. The system will issue a notification about the need to update your account information. Ignoring this request will result in a complete stop of synchronization.
In 90% of cases, the problem with an unsent letter is solved by simply checking the Internet connection or switching between Wi-Fi and a mobile network.
Security and encryption of correspondence
When sending sensitive information, it is important understand the level of security of the communication channel. Standard protocols SMTP i IMAP use SSL/TLS encryption, which protects data from interception when transmitted over the network. However, the contents of the letter itself on the provider's server may be available for automatic scanning by algorithms (for example, for targeted advertising or spam filtering).
To increase confidentiality, use the "Confidential Mode" mode, available in Gmail. It allows you to set the validity period of the letter and prohibit the recipient from forwarding, copying or printing the contents. You can also set a password for opening a message, which will need to be communicated to the recipient through another communication channel, for example, in a messenger.
Always check the recipient's address before pressing the send button. A mistake in one letter can lead to data leakage to an unauthorized person. Phishing attacks are often disguised as well-known services, so pay attention to the sender’s domain name if you receive strange requests.
Why doesn’t the email go through even if there is Internet?
Most often the problem lies in the size of the attachment, which exceeds the provider's limit, or in the blocking of the sending port by your mobile operator. Try sending an email without files or over a different Wi-Fi network.
Is it possible to recall a sent email on Android?
The “Undo Send” function only works for a short period of time (from 5 to 30 seconds), which can be configured in the application settings. After this time has expired, the letter goes to the server, and it is technically impossible to recall it.
How to send a letter from another address in the same application?
If you have added several accounts, when creating a new letter, click on your address in the “From” field (usually it is displayed under the subject or in the upper corner). A list of available addresses for selection will open.
What to do if the mail application constantly crashes?
Try updating the application through the Google Play Store. If this does not help, uninstall the latest updates or completely reinstall the client. Also check whether there is enough free RAM on the device.
